How to Manage Wedding Guests in Nigeria Without the WhatsApp Chaos

You sent out the IV. The RSVPs are rolling in: 150, 300, 400. Your WhatsApp is on fire. Aunty wants to know if her Aso-Ebi has been paid for. The caterer needs a final headcount by Friday.

You sent out the IV. The RSVPs are rolling in: 150, 300, 400. Your WhatsApp is on fire. Aunty wants to know if her Aso-Ebi has been paid for. The caterer needs a final headcount by Friday. Someone's cousin is asking whether there's a bus from Ibadan.

Collecting RSVPs is the easy part. The hard part is everything that comes after: who has paid, who needs what, how many plates to order, and who actually walked through the gate on the day.

For most Nigerian weddings, all of that lives in a spreadsheet that goes stale the moment you export it, a dozen WhatsApp groups, and the planner's head. Here is a better way to run it, in five steps.

1. Collect RSVPs with the right questions from day one

Most couples only ask "Will you attend?" Then they spend the next six weeks chasing the details they should have asked for at the start.

Your RSVP form is the cheapest place to collect information. Ask everything once, when guests are already paying attention:

  • Which side are you from? Bride's family, groom's family, friends, church, work. This drives seating and who gets invited to what.
  • How many people are coming with you? Get the real number now, not at the gate.
  • Are you ordering Aso-Ebi? And which package, if you have more than one.
  • Will you need transport or accommodation? Especially if guests are travelling in from another city.
  • Any dietary needs? Your caterer will thank you.

On Eventeel, every wedding gets its own page with your story, a photo gallery and the RSVP form. You set the questions, share one link, and every answer lands in a single guest list you can filter. No retyping WhatsApp messages into Excel.

2. Take Aso-Ebi orders and payments without chasing anyone

Aso-Ebi is where wedding admin quietly falls apart. Screenshots of transfers get lost in group chats. Two people claim the same payment. Someone swears they paid in March.

The fix is to take the order and the payment in the same place, at the same time:

  1. Add your Aso-Ebi packages to the RSVP as paid add-ons, with the price for each.
  2. Guests pick a package and pay by card, bank transfer, USSD or mobile money. Payments run through Flutterwave.
  3. Every payment is tied to a named guest automatically. You can see who ordered what, who has paid and what you've collected, in one view.

If some guests would still rather send a transfer directly, you can record those too, so your list stays complete. When it's time to hand fabric to your tailor or distributor, filter the guest list by package and you have your order sheet.

3. Collect cash gifts cleanly

More guests now prefer to send a gift than carry one. That's great, until you're matching anonymous transfers to names a week after the wedding and trying to write thank-you notes.

Put a gift option on your wedding page instead. Guests send their gift through the same page they RSVP'd on. Each one arrives with a name attached, so you know exactly who to thank. Gifts sent by direct transfer can be logged alongside them, so nothing slips through.

It also helps the guests who can't make it on the day but still want to celebrate you.

4. Plan food, transport and accommodation from real numbers

Every Nigerian wedding has the same nightmare: food runs out before the groom's side has eaten. It usually happens because the caterer was given a guess, not a number.

If you asked the right questions in step 1, you already have the real numbers:

  • Catering: confirmed guests plus the people coming with them. Check it against dietary needs before you sign off with the caterer.
  • Transport: filter for everyone who said they need a ride, grouped by where they're coming from. Now you know how many buses you need, and from where.
  • Accommodation: the same list, for guests who need a place to stay.

You can also email updates to exactly the right group. Bus times go only to people on the bus. Hotel details go only to out-of-town guests. Nobody gets spammed, and nobody misses the one message that matters to them.

For the rest of the planning, you can assign tasks to your planner, family members or vendors. Things like "confirm caterer" or "publish seating plan" all go in one place, and you can see how close you are to done. Vendor costs and your budget sit on the same dashboard.

5. Check guests in at the gate with QR codes

The gate is where planning meets reality. Without a system, it's a printed list, a pen, and an usher trying to find "Mrs. Adebayo" among four Mrs. Adebayos while a queue builds behind her.

With Eventeel, every confirmed guest gets their own QR code by email as soon as they RSVP. On the day:

  • Ushers scan the code at the entrance. It takes seconds and there's no list to flip through.
  • A code can only be used once, so a forwarded IV doesn't turn into three extra guests.
  • You can watch the show-up rate live. If 72% of guests are in by 2pm, you know when to start and how much food is still to come.

If your wedding has separate parts, like the church service and the reception, guests can be checked in to each one separately.

What it costs

There's no subscription and no contract. You pay per event, only for what you use.

  • First 25 guests: free, no card required
  • Wedding capacity: ₦25,000 per 100 guests
  • Aso-Ebi add-ons and cash gifts: 2.5% per payment
  • Payouts: usually 1–2 business days after you request them

Only confirmed RSVPs count as guests. Abandoned or pending payments don't. For a 300-guest wedding, that's ₦75,000 for the entire guest operation: the wedding page, RSVPs, Aso-Ebi, gifts, logistics and QR check-in. That's often less than one of the small line items on your budget.

Your wedding, without the chaos

You can set up your wedding page in a few minutes, and the first 25 guests are free. Try it with your immediate family first. Then share the link with everyone else once you've seen how it works.
